This role will support three GMs covering the Department of Defense (DOD), Civilian and the National Security Group (NSG). The ideal candidate will manage and maintain GMs’ complex calendar daily to ensure accurate scheduling and organization. Coordinate and schedule meetings with other key Microsoft and customer contacts. Make decisions on behalf of GMs to ensure meeting requests meet with time management priorities and performance objectives. Schedule and arrange team staff meetings, All Hands, morale and offsite events.   Will also manage broader division-wide events including but not limited to, meeting logistics (obtaining rooms, catering, incorporating and managing Skype and SharePoint Technology) across US time zones, as well as material preparation. Work with the GMs’ Business Manager on the Rhythm of the Business processes. Planning & coordinating the GMs’ domestic travel plans. Manage distribution lists to ensure up to date, maintain accurate organizational charts, reporting/tracking all discretionary budget.   Coordinate department facility operations, including space planning and office moves in partnership with team administrative assistants.

Managing headcount, posting positions, and tracking movement in each organization

Preparation of GMs expense reports; ensuring that all MS accounting and fiscal responsibility process are followed

Ordering hardware and managing all invoice approvals

READY Allocation ownership and tracking

Responsible for managing ad-hoc projects and processes as needed

Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions to include communicating and working with confidential and sensitive information including

FastStart/Connects reporting & tracking with GM

Basic Qualifications:

• 5+ years’ experience in an administrative role performing calendar management for a senior level manager and event planning

• 2+ years in Microsoft Outlook, Excel, Word, PowerPoint, OneNote & Windows

Preferred Qualifications:

• 5+ years of high level administrative assistance experience supporting a GM or higher

• Associates or Bachelor’s Degree (B.S./B.A.) preferred

• Ability to act with executive presence and diplomacy, critical for interaction with all levels of Microsoft employees and executives cross group

• Proficiency with Microsoft productivity software and internal tools, including: Outlook, Word, PowerPoint and Excel, MSExpense 2.0, HeadTrax and MSS

• Excellent organizational, analytical, anticipatory, and written communications skills

• Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity

• Must be assertive, have a high level of integrity, and consistently demonstrate a positive “can-do” attitude with the ability to maintain the confidentiality of highly sensitive material with tact and professionalism

• Able to work successfully in a team environment, build effective working relationships inside and outside group, and accommodate working styles and perspectives of diverse individuals and groups
